Responsibilities and Qualifications

Reporting through the Content Services department, the Data and Automation Specialist I is responsible for managing, auditing and seeking out new ways to improve data integrity within the ROi supply chain tool suite. This role is also given to the task to continually strive to improve the process and consistency in which content is gathered and shared throughout all points of integration within the supply chain suite. The supply chain consists of systems that support the ordering, distribution, conversion and consumption of Medical Surgical and Pharmaceutical products, but is also considerate of downstream systems impact. ROi's ability to effectively manage supply chain operations is dependent on reliable and consistent data content. Maintaining a high standard of data integrity and reducing the amount of redundancy and manual process is crucial to the success of this role. In conjunction with assigned projects, this role interacts with IT, content, supply chain, and operations customers to solicit and build consensus around data management and established data standards. This position continually optimizes supply chain tools and processes to improve and enhance the process and value of supply chain information available

 

Responsibilities
Solutions Management- Continually seek out ways to automate or reengineer inefficient processes. Aspects
of this will include

  • Working creatively with process owners to best understand the bottlenecks and manual data entry
    points that may need to be automated 
  • Working with reporting and modeling experts to assist in the design and setup of system and data driven
    audits of system content, both within the system and between systems. 
  • Set-up and conduct audits under supervision or guidance from the manager or higher level specialist.
  • Continually seek out new or improved ways of expanding the use of currently available MMIS
    applications.
  • Ensuring that the utilization of our systems and operations meet their intended business purpose.
  • Work with applications and technical teams to develop constructive solutions by process re-design or
    new tool development as needed to address opportunity.


    Application Support- Assists the Content Management team with day to day maintenance and management of content being created within MMIS systems, which includes
     
  • Being accountable for the set-up and the ongoing maintenance of all content being created within the
    supply chain tools suite
  • Monitoring data integrity based on established parameters and taking appropriate steps to achieve
    exceptional data integrity, timely data input, and meet expected service levels
  • Working directly with IT resources to resolve user calls and system issues 
  • Performing all necessary data manipulation required to incorporate other systems data into Materials
    Management Information Systems,
  • Being able to download information into Microsoft Access and Excel to prepare for loading into supply
    chain tools


    SC System Data Integrity- Participates in ensuring supply chain systems data integrity and accuracy by providing support for supply chain systems data content, with special emphasis on product content. Aspects of this will include:
     
  • Leveraging all available systems, tools and resources to inform decisions in optimization of the content
    made available within the supply chain tools suite
  • Creating and, researching, critical data elements within the supply chain tool suite.
  • Assist with data management and content audits to review and verify that systems content is flowing
    appropriately
  • Working with manufacturers, distributors, and industry contacts to correct and improve supply chain
    content
  • Supporting e-commerce strategies and the applications that facilitate those strategies, which iinclude all
    other upstream and downstream activities.
  • Seeking out and facilitating supplier integrations to improve the quality of information available within the
    supply chain tool suite
  • Working with IT to optimize the flow of pricing information from multiple sources into a single source of
    truth to ensure optimal price accuracy


    Product Conversions- Provides day to day support of consolidation and conversion work efforts on a project by project basis, which includes
  • Working with suppliers, end users, and customers to ensure data being built in the supply chain tool suite
    is being built correctly, appropriately and strategically to support current and future initiatives,
  • Working with internal IT staff in coordinating data conversion activities
  • Proactively seeking out customer feedback to ensure project information and system content meets its
    originally established business purpose
  • Communicating with all customers in a timely and respectful fashion to ensure everyone is aware of any
    impactful content changes or conversion activities prior to the activity being implemented.


    Project Management- Utilize project management principles to assist with managing multiple projects and reports through well executed communication, timely progress updates and appropriate management of stakeholder/customer expectations, which includes:
     
  • Learning and appropriately utilizing project management tools to coordinate effective resource
    deployment, facilitate project task visibility and complete projects in a timely fashion
  • Interacting with customers in a professional, customer first manner applying professional issue resolution
    skills and remaining ever cognizant of the voice of the customer
  • Assist in proactive project management through the execution of regular and informative communications
    to ensure project success and agreed upon outcomes.


    Customer Service- Utilize exceptional customer service skills to seek out customer feedback and building consensus on end user expectations and data integrity standards, which includes:
  • Working with key clinical and operations stakeholders to achieve mutually agreed upon data management
    processes, assist in establishing enterprise accepted data standards, and assist in training to ensure
    best practices are being applied consistently
  • Regularly communicating with customers to romote data management practices and provide ongoing
    opportunities for customer feedback
  • Participating in managing expectations of customers, vendors, IT staff and other member’s staff’s around
    projects and issue resolution

    Other Duties- This position will perform other duties as assigned by their direct leader or the Executive Director- Technology & Business Solutions, which may include, but be limited to:
  • Generating system reports as requested by management or leadership
  • Providing support and statistical information
  • Any other application related duty as assigned

Qualifications:

Education: Bachelor's degree in Business Administration, Data Management or Information Systems or equivalent work experience
Experience: One or more years experience in an operations or health care supply chain setting, plus extensive knowledge of procurement and how general supply chain works The ideal candidate for this job would have experience in with IT or materials setting, ideally an operating room or central stores. In addition, the candidate needs to have some skills with regard to Microsoft products, such as Excel.
Other: Basic knowledge of material and resource management accepted practices and how the materials management information system functions to meet these practices. Analytic minded person with the ability to provide high level technical support and problem resolution to field team members. Must be available to travel 5% to ROi member facilities Must have strong communication skills (written, oral and compassionate human relation skills) with the ability to communicate in a manner that puts non-technical, non-clinical staff at ease. Ability to work collaboratively with diverse groups Excellent team player. Attention to detail and ability to handle confidential information. Strong Basic issue resolution skills and ability to effectively handle conflict Must be able to manage multiple, simple to moderately complex projects simultaneously in a high-pressure environment. Knowledge of spread sheets, data development, and word document applications. Will be expected to support and / or be knowledgeable of the following IT Applications: Data-cleansing Software Lawson Tecsys E-catalog software Contract Management software. Omnicell Multiple Interfaces to different financial and clinical systems.
